What’s the latest trend in payroll processing? You might be surprised to learn that it’s the electronic Nevada W-2 form. Yes, according to the U.S. Dept. of Labor, it’s now acceptable for employers in all 50 states to provide W-2 forms electronically by PDF file.

This means that in the near future, the traditional paper W-2 form may be extinct. Well, why not? Many people have done away with their checkbook in favor of a debit card. An increasing number of individuals file their taxes electronically every year, so why should W-2s be any different?

If you’re an employer, weigh the disadvantages before committing to electronic Nevada W-2 forms. The electronic version must be delivered as a PDF file. It must include all the information on a traditional W-2 form, including wages earned, deductions and federal or state taxes paid.

Many employers who have embraced the electronic W-2 form say that it has simplified their paperwork. In particular, it prevents the problem of undelivered paper W-2 forms. The most common reason for W-2s to be returned is that the employee has changed their home address. Going live with online forms eliminates that problem.

Before you make the switch, consider all the alternatives. Do you have personal as well as business email addresses for all your employees? What will you do if a former employee changes their personal email address? While the electronic system may eliminate one problem, it could potentially present another problem.

Finally, be aware that some employees may not choose to participate. Just as there are still people who write checks instead of using a debit card, there are some who will not embrace the electronic W-2. Those employees have the legal right to insist on a traditional paper form. Under the law, each employee must sign a consent form to receive his or her W-2 electronically. It’s against the law for an employer to unilaterally impose the policy, at this point.
